Event Planner and Coordinator Intern

Organization: The City of Chillicothe is embarking on a curbside recycling program. In 2017 Chillicothe City Council approved the establishment of a new curbside recycling program that will begin service in the summer of 2018. This is the first new service that the City has offered in many years and an effective “roll out” will be critical to its success. For effective implementation of the program, an excellent communicator will be needed to provide operational household information and plan events around recycling/sustainability.  The successful applicant will be working directly with the Mayor and other members of the administration and City Council to effectively communicate the various aspects of the recycling program to the public. In addition, the applicant will need to effectively communicate with the administration from Ohio University Chillicothe (OUC) as many of the events will be held on the OUC campus.  The intern will also gain experience in other non-recycling recycling related governmental communications and will be involved in the rollout of the new city website. 

Intern Position Title:  Event Planner and Coordinator Intern

Description:  The City of Chillicothe seeks a self-motivated, enthusiastic individual to assist in event planning to market the city’s Curbside Recycling initiative as well as other city business.  The ultimate goal is to educate the city’s citizens regarding the project and keep the citizens of Chillicothe informed regarding city business with events scheduled throughout the city as well as Ohio University Chillicothe.   The intern will have a significant amount of autonomy and independence in fulfilling the duties and responsibilities of the position.

Reports to: Mayor, Director of Safety Service, Director of Human Resources, Director of Parks & Recreation and casual report to Ohio University Chillicothe administration.

Duties and Responsibilities:

·         Create an event timeline for the initial startup of the Curbside Recycling initiative that coincides with the work of the marketing and communication intern, also working on the project. 

·         Research best practices for the Curbside Recycling initiative operations, events.

·         Create a Facebook page for each event and incorporate other social media.

·         Draft, distribute and pitch news releases, media alerts and other stories regarding events that relate to recycling.

·         Design flyers, graphics, and other materials that encourage participation at the various events.

·         Use the City of Chillicothe Facebook page and other social media outlets to educate the public about recycling and advertise events.

·         Engage the business community in promoting recycling at planned events.

·         Create area school programming events to encourage recycling and promote a sustainability culture.

Qualifications:

·         Working toward a college degree, preferably in a related field (e.g. Business, Communications, English, Marketing, Environmental Studies  or Public Relations)

·         Completed or enrolled in Communication Studies and/or Marketing and/or Environmental Studies courses

·         Must be computer literate (working knowledge of Word, PowerPoint, Excel).  Proficiency in Publisher, Photoshop, HTML, and graphic design is preferred

·         Firm understanding of available tools and platforms in the social media space

·         Effective oral and written communication skills

·         Ability to communicate in a professional manner with a variety of audiences

·         Self-motivated, good organizational skills, detail-oriented, ability to prioritize, multi-task and meet deadlines

·         Previous internship or related experience in marketing or communications is a plus

·         Creative in creating and planning events that promote household recycling and sustainability

Start Date:  Position open until filled, requires a minimum 15 week commitment

Hours:  Approximately 10-12 hours per week, minimum of 135 hours over the 15 week period

Compensation:   PAID internship through grant funding

POSITION: Marketing and communications student intern

GENERAL RESPONSIBILITIES:

  • Draft campus stories, new releases, media advisories, and other publications as needed

  • Work with office coordinator to brainstorm ideas for new and innovative campaigns

  • Assist with faculty, staff, and student interviews for story development

  • Help with campus photography/videography

  • Develop graphics, flyers, campaigns, and campus materials for advertising needs

  • Help ensure story and photography coverage at campus events

HUMAN RESOURCES INTERN (NON-COMPENSATED)

The Human Resources Intern will gain knowledge and workforce skills by directly assisting the Human Resources Manager with a wide range of projects related to HR compliance, recruiting, onboarding/orientation, safety, and employee benefit. This internship is designed to be both educational and practical.
 The HR Intern will learn how to take skills she or he may have acquired in school related to his or her particular areas of interest, and apply them in a professional setting.  He or she will gain a better understanding of
the critical role that Human Resources plays in the workplace.

The candidate will also have opportunities to network with City department heads and elected officials, the general public and various HR-related organizations and agencies.

Intern reports directly to the Director of Human Resources and may be supervised and assigned work by HR Department Staff.

The Human Resources Intern will learn the practical application of:

  • Steps in the recruiting and hiring process, including: posting job openings, reviewing resumes,

conducting telephone and in-person interviews, making job offers and negotiating starting salaries.

  • The importance of employment law and compliance, especially regarding employment eligibility,

confidentiality, proper maintenance of employee files, and forms management.

  • The interrelationship of HR and Finance in the areas of new employee paperwork, payroll issues related

to onboarding and termination, use of a payroll management database, and report generation.

  • Employee benefits management issues related to plan renewal and open enrollment, benefits

enrollment and termination, troubleshooting employee benefits issues, and the customer service aspect

of benefits oversight.

·         Other HR-related areas including but not limited to: Employee Wellness Initiatives, Collective Bargaining and Labor Grievance Resolutions, Workplace Safety and Workers’ Comp Management, and Workforce Diversity.

Qualifications:

         Current or recent enrollment in a graduate or undergraduate degree program with an interest and aptitude to work in Human Resources, or non-profit management/administrative fields;

         Ability to prioritize tasks and handle numerous assignments simultaneously;

         Excellent interpersonal skills, professional and tactful conduct, and ability to maintain confidentiality

         Proficient in Microsoft Word, Outlook; PowerPoint and Excel

         Ability to prioritize workload and multi-task

         Strong oral, written, and presentation skills
